Our client in the Oil and Gas sector is seeking to recruit a highly skilled Lead Document Control professional who will be responsible for overseeing the document control process for large-scale projects, ensuring the accuracy, integrity, and accessibility of all project documentation. This role requires a strong leader with proven expertise in managing document control teams and systems, particularly in the context of complex oil and gas projects.
KEY RESPONSIBILITIES
1. Lead and mentor a team of document control specialists, providing guidance and support to ensure efficient and accurate document management.
2. Oversee the entire document control process, including the creation, review, approval, distribution, and archiving of project documents.
3. Manage and administer document control systems and software, ensuring proper functionality, user access, and data security.
4. Ensure all documents are processed and recorded accurately, including technical drawings, contracts, specifications, and reports.
5. Act as the primary point of contact for document control matters, facilitating communication between project teams, clients, and vendors.
6. Track and report on document revisions, approvals, and distributions to ensure all records are up-to-date and accurately maintained.
7. Document Management and Organization: Receive, review, classify, and categorize incoming project documents (e.g., drawings, contracts, reports) using metadata, unique identification numbers, and project-specific criteria for efficient retrieval.
8. Quality Assurance and Control: Ensure document accuracy and adherence to standards by conducting reviews, validating templates and formats, and applying quality control measures to address errors, inconsistencies, and discrepancies.
9. Ensure effective document management by utilizing and maintaining PIMs and ProArc systems, collaborating with contractors to optimize processes, and driving improvements through best practices.
10. Document Control and Security: Ensure proper version control, revision tracking, and access control by maintaining a history of document changes, distributing updated versions to stakeholders, and implementing security measures to safeguard sensitive information.
11. Change Management and Training: Coordinate document changes with project teams, ensure proper review and approval processes, and train personnel on document control procedures to maintain consistency and compliance.
QUALIFICATION AND SKILLS
1. A bachelor’s degree in Business Administration, Engineering or a related field is preferred.
2. Proven work experience in document control, with at least 3 years in a leadership or supervisory role within the oil and gas industry or a related sector.
3. In-depth knowledge of document control processes and systems, particularly in relation to large-scale oil and gas projects.
4. Proven experience in managing document control software and tools (PIMS and ProArc), with strong

6. Exceptional organizational skills, attention to detail, and ability to manage multiple priorities effectively.
7. Strong leadership, communication, and interpersonal skills, with the ability to work collaboratively with diverse teams.
8. Understanding of industry standards and regulatory requirements related to document control.
9. International experience and cultural awareness.
